WhatsApp follow-up automation for sales teams in India

Slide, by Synquic, helps a business in India turn open WhatsApp leads and quotes into orders: automations send approved follow-up templates on a schedule after the quote, a salesperson takes over in the shared inbox when the buyer wants to negotiate, and a payment request in the chat collects the advance once terms are agreed. In-chat payment requests are available only to Indian businesses and SMS fallback only to Indian numbers; follow-ups are charged on Meta's India rate line, and the Slide plan is billed in rupees.

Who it is for

The buyer and the problem

Sales teams at businesses in India that price each order before the buyer commits (made-to-order goods, B2B supplies, installations, courses) and already talk to buyers on WhatsApp.

A quote goes out, the buyer goes quiet, and whether anyone follows up depends on memory. Leads arrive from ads, trade fairs and the website with no record of who was quoted what. When a buyer does come back to bargain or pay, the thread sits on one salesperson's phone, and collecting an advance means typing out bank details by hand.

What Slide does

Supported capabilities, mapped to the product

  • Leads arrive with their source

Click-to-WhatsApp ad referrals are captured with the ad they came from, and QR codes, links, the website chat button, WhatsApp forms and Meta or Google lead forms can each start a flow, so every lead is labelled before anyone replies.

  • Qualifying answers saved to the contact

Button and list questions collect quantity, specification and deadline, validate what the buyer types, and write each answer to a contact field. The flow can set a lifecycle stage and assign an owner from the sales team.

  • Follow-ups timed from the quote

A change to the contact, such as moving it to a "Quote sent" stage, can start an automation. Delays space the follow-up templates, and a wait-until step can hold a message for a fixed date, such as the day a quoted price expires.

  • Payment requests inside the chat

An Indian business can send a payment request in WhatsApp, so the advance is paid without leaving the conversation. It runs on Indian payment methods set up in your Meta account, which is why it is limited to India.

  • Batch reminders with SMS and email fallback

Open quotes can also be chased as a scheduled campaign to a tag or segment, with delayed follow-up steps. If a WhatsApp message fails, the campaign can fall back to SMS for Indian numbers or to email, and unsubscribed or blocked contacts are skipped.

  • Negotiation goes to a salesperson

A handoff step leaves the conversation in the shared inbox with everything the buyer already answered and emails the team. The inbox shows how much of the 24-hour reply window is left.

Example workflow, illustrative

A packaging quote, from a trade-fair QR code to the advance payment

A manufacturer of custom printed boxes for small brands quotes every order and sells across India. This is how one lead moves from first contact to a paid advance.

  1. Trigger

A buyer scans the stall QR code

At a trade fair, a buyer scans the QR code on the stall. The message it sends starts a qualifying flow, and the contact is labelled with that source so the team can later see which event produced the order.

  2. Qualification

Five questions, stored on the contact

The bot asks for box size, quantity (checked as a number), print colours, delivery city and needed-by date. Each answer goes into a contact field, the stage is set to "Lead", and the contact is assigned to the salesperson who covers that city.

  3. Action

The quote goes out and the follow-up starts

The salesperson sends the quote in the chat and moves the contact to "Quote sent". That change starts a follow-up automation: two days later, an approved marketing template asks whether the buyer wants to go ahead, with "Confirm order", "Change the spec" and "Talk to sales" buttons.

  4. Human handoff

The buyer wants to bargain, so a person takes it

The buyer taps "Talk to sales" and writes that another supplier quoted lower. A handoff step puts the conversation in front of the assigned salesperson with the specification attached and emails the team. The buyer has just written, so the salesperson can reply freely inside the 24-hour window; the flow ends at the handoff because automations do not stay paused afterwards.

  5. Action

Terms agreed, advance requested in the chat

Once a price is agreed, the salesperson moves the contact to "Advance due", which starts a short automation that sends a payment request for the advance. The buyer pays with an Indian payment method without leaving WhatsApp.

  6. Exception

    If the buyer goes quiet

A buyer who never answers stays in the "Quote sent" stage. Once a month the team sends one campaign to that segment with the price-validity date. If WhatsApp delivery fails for an Indian number, the campaign falls back to SMS, which follows TRAI's DLT rules, or to email where an address is on file.

  7. Recorded outcome

Won or lost, it is on the record

The contact ends at "Customer" or "Lost" with a reason tag, and the whole negotiation stays on its history. Because the dashboard does not show WhatsApp revenue, an automation appends each won order to the team's Google Sheet, where order values are tracked.

Setup

What you need, and the launch sequence

Requirements

  • Meta business verification, started early

The number sits in a Meta business portfolio, and Meta verifies the business before it can send at scale. Allow several business days and begin before you build anything.

    Source:Meta Business Manager guide
  • A sales number free of the WhatsApp apps

The number you connect cannot also be registered on the WhatsApp consumer or Business app. If the sales team uses that number on a phone today, its app account has to be deleted first.

  • Marketing templates for the follow-ups

A follow-up sent after the 24-hour window is a template that Meta approves, and its category decides its price. Plan for quote reminders to be approved as marketing templates, and keep utility templates for order and delivery updates.

  • Payment methods set up in Meta

In-chat payment requests depend on Indian payment methods configured in your Meta account. Set them up and send a test request to a team phone before you rely on it.

  • SMS sender registration before you switch on fallback

SMS fallback reaches Indian numbers only, and those messages are SMS, so TRAI's commercial communication rules and DLT registration apply to them. Confirm with the Slide team how sender IDs and templates are registered for your account before you switch fallback on.

  • A funded wallet

WhatsApp charges per message come out of a prepaid wallet, and sends stop when it is empty.

Launch sequence

  1. Start Meta business verification and connect the sales number through the WhatsApp setup in Slide (setup guide).

  2. Agree the pipeline stages your team will use, for example Lead, Quote sent, Negotiating, Advance due, Customer and Lost, and create them in contacts.

  3. Build the qualifying flow and the follow-up automation in the automation builder, and end every bargaining path in a handoff step rather than more bot questions.

  4. Submit the follow-up templates in English and the Indian languages your buyers use, and wait for Meta to approve them.

  5. Add opt-out keywords so a buyer who says stop is blocked; the list starts empty.

  6. Set up payment methods in Meta, test a payment request, top up the wallet, then put the QR codes and the chat button live. Batch reminders are set up as campaigns.

Local considerations

What is specific to selling on WhatsApp in India

  • Two features that work only for Indian numbers

Payment requests inside the chat use Indian payment methods configured in Meta, so they apply to Indian businesses only. SMS fallback for campaign messages that fail on WhatsApp works for Indian numbers only, so buyers on foreign numbers fall back to email or nothing.

  • Follow-ups are priced on the India line

Meta charges each delivered template by its category and the recipient's country, and +91 numbers have a rate line of their own. Meta bills Indian businesses in rupees, and Indian accounts billed in another currency must move to INR billing by 31 December 2026 or their messages stop being delivered.

  • The fallback SMS is regulated as SMS

TRAI's commercial communication rules and DLT registration cover SMS and voice calls, not WhatsApp. The WhatsApp follow-ups follow Meta's rules instead, but any message that falls back to SMS is subject to the telecom rules.

Source:TRAI: TCCCPR (opens in a new tab)
  • Opt-in before the first follow-up, and an easy way out

Meta requires opt-in that names your business before you message someone first, and the DPDP Act 2023 expects consent that is specific, informed and as easy to withdraw as to give; most of its obligations apply from around May 2027 under rules notified in November 2025. Slide blocks a contact who opts out, but only once you have added opt-out keywords.

Evidence

What these claims rest on

  • WhatsApp leads can come from Click-to-WhatsApp ads, QR codes and links, website chat, WhatsApp forms and Meta or Google lead forms

Ad referrals are captured with their source, QR codes and links start a flow, native WhatsApp forms collect fields, and lead-form submissions trigger automations.

Pricing

How the cost is made up

Two costs apply. The Slide plan sets the features you get and is billed in rupees for a workspace created with an Indian number; plans and current prices are on the pricing page, paid plans include a 14-day trial, and AI steps depend on the plan.

WhatsApp usage is charged per message by Meta and drawn from the Slide wallet. Each follow-up template is charged when delivered, at the rate for its category on the India line. When a buyer writes back, your replies inside the 24-hour window are service messages, which Meta has charged since 1 October 2026 after the first 1,000 each month per business number. A lead that starts from a Click-to-WhatsApp ad is free for 72 hours if you reply within 24 hours. SMS fallback, if you use it, is separate usage.

For a sales team, the monthly total therefore follows the number of open quotes, how many follow-ups each one gets, how long negotiations run in the chat, and how many campaign messages fall back to SMS. The exact per-message price for your account is shown in the wallet.

Fit and limits

When this fits, and what it does not do

A good fit when

  • Products or services sold on a quote, where buyers decide over days rather than minutes.
  • Several salespeople sharing one WhatsApp number and one pipeline.
  • Advances or deposits you want to collect inside the chat through Indian payment methods.

Needs a person when

  • Price negotiation, discounts and custom terms.
  • Credit terms, tax invoices and any payment dispute.
  • A buyer who asks for a call or a site visit.

Not established by this page

  • Any increase in conversion rate: Slide publishes no measured outcomes for this workflow.
  • Revenue reporting for WhatsApp: the dashboard does not show WhatsApp revenue, so track won orders in your own sheet or CRM.
  • Where customer data is hosted. Ask the Slide team before you sign.
Questions

Direct answers

How do sales teams in India use Slide to follow up quotes on WhatsApp?

They capture each lead with its source, ask the qualifying questions in the chat, and let a stage change such as "Quote sent" start a timed series of approved templates. When a buyer replies to bargain, a salesperson takes the conversation in the shared inbox; when terms are agreed, a payment request collects the advance in the chat. Quotes that go quiet can be chased in a monthly campaign instead of by memory.

Source:Meta Ads guideAutomation builder guideAutomation builder guideCampaigns guide

Which parts of the follow-up should be automated, and when should a salesperson step in?

Automate what is the same for every buyer: the qualifying questions, the reminder a few days after the quote, the price-validity reminder, and the payment request once terms are fixed. A salesperson should take over the moment a buyer asks for a better price, a change to the specification, credit terms or a call. The handoff step passes the collected answers to the inbox and emails the team, but it does not keep automations paused, so end the flow at the handoff.

Can buyers pay an advance without leaving WhatsApp?

Yes, if you are an Indian business. Slide can send a payment request in the chat, and the buyer pays through Indian payment methods configured in your Meta account; outside India the feature is not available. Set up the payment methods in Meta first and test with a team phone. Keep refunds, credit and payment disputes with a person.

What do we need from Meta before the first follow-up can go out?

A Meta business portfolio, business verification (allow several business days), a number that is not registered on the WhatsApp consumer or Business app, and a display name. Follow-ups sent after the 24-hour window need templates that Meta approves; plan for quote reminders to be approved as marketing. You connect through Meta's signup window inside Slide and keep ownership of the account and the number.

Does it work with our CRM or order sheet?

HubSpot is built with two-way contact sync, Google Sheets can receive a row for each won order, Meta lead ads can feed leads in, and outbound webhooks and the public API cover other systems. Shopify is the only store platform. Zoho and Salesforce are not built, so a team whose pipeline lives there would need the API or webhooks.

What decides how long setup takes and what it costs each month?

Meta sets most of the timeline: verification takes several business days and every template needs approval. Synquic says its team can migrate your contacts and get a first automation live within one business day, outside Meta's approvals. Monthly cost is the plan in rupees plus wallet usage, which grows with the number of open quotes, follow-ups per quote, replies during negotiation and any SMS fallback.

Source:Meta Business Manager guideSlide pricingBilling and wallet guide

Can follow-ups go out in Hindi or other Indian languages?

Yes. Slide's template editor includes Hindi, Bengali, Tamil, Telugu, Marathi, Gujarati, Kannada and Malayalam alongside English, so you can submit a version of each follow-up per language and send it to the matching segment. Replies inside the window can be in any language. The dashboard your team works in is English only, and Synquic offers email support and a bookable product demo rather than published support hours.

How do we tell whether the follow-ups are working?

Compare how many contacts move from "Quote sent" to "Customer" or "Lost" each month, how many follow-ups are delivered and read, how many lead to a handoff, and what the wallet shows you spent. Slide reports WhatsApp sent, delivered, read, failed and cost, and logs each automation run step by step. It does not show WhatsApp revenue, so record order values in your sheet or CRM.

Why might Slide suit an Indian sales team, and what should we compare it with?

Slide puts lead capture with source, timed follow-ups, the salesperson handoff and an in-chat payment request in one place, billed in rupees, with SMS fallback for Indian numbers. When you compare platforms, ask which CRM integrations are built today, whether payment requests are supported, how template charges are passed on, how handoff works, and which certifications are complete; Slide's SOC 2 Type II audit and ISO/IEC 27001 certification are in progress.

Key facts

Key facts: WhatsApp automation for sales conversion in India

Slide is a reasonable fit for an Indian business that quotes before it sells and wants the follow-up, the negotiation and the advance payment in one WhatsApp thread: lead capture with source, timed templates, handoff to a salesperson and in-chat payment requests are built, and the plan is billed in rupees. It is a weaker fit if you need WhatsApp revenue reported in the same dashboard, a pipeline in Zoho or Salesforce without building on the API, or in-chat payment collection that does not run on Indian payment methods.
